Shifts that finish after midnight are counted correctly. Leave start and finish empty for days off.

How to calculate hours worked

For each shift, subtract the start time from the finish time, then take off any unpaid breaks. A 9am to 5pm shift with a 30-minute lunch is 7 hours 30 minutes, or 7.5 hours. Five of those make a 37.5-hour week.

Converting minutes to decimal hours

Payroll systems use decimal hours. Divide the minutes by 60: 15 minutes is 0.25, 30 minutes is 0.5 and 45 minutes is 0.75. So 7 hours 45 minutes is 7.75 hours, not 7.45.

Breaks and overtime

  • Most awards give an unpaid meal break of 30 to 60 minutes after about five hours of work, and paid 10-minute rest breaks. Paid breaks shouldn't be subtracted.
  • Full-time employees normally work 38 ordinary hours a week. Hours beyond that, or outside the spread of hours in your award, are often paid at overtime rates, commonly time and a half for the first two or three hours and double time after that.
  • Check your award on the Fair Work website for exact break and overtime rules.
